Residential tenant privacy notice

This notice explains what personal information Great Red Property Limited collects about prospective and current residential tenants at Rufus Court Chester, and how we use it. It covers information we hold directly. Thomas Property Group, our managing agent, handles the detailed referencing and tenancy onboarding process and will provide you with their own privacy notice covering that information.

What information we collect

We collect the following information about prospective and current tenants and guarantors:

  • Name, email address and telephone number
  • Any other information you provide to us when expressing interest in or being considered for a tenancy
  • Property address, tenancy term, rent and deposit details once agreed

Thomas Property Group, our managing agent, collects additional information required for referencing and tenancy management, including employment and financial details. That information is held by Thomas Property Group and governed by their own privacy policy.

How we collect it

We collect information directly from you when you contact us about a tenancy, and from Thomas Property Group in the course of managing the letting.

Lawful basis

We process your data on the basis of contract (where processing is necessary to enter into or perform your tenancy agreement), legitimate interests (for tenant selection and related property management purposes), and legal obligation (where the law requires us to process or retain certain information).

Who we share your data with

We share information with Thomas Property Group, our managing agent, for the purposes of managing the letting and your tenancy. In connection with the creation, renewal or termination of a tenancy, information may also be disclosed to relevant parties such as deposit scheme administrators, utility providers and local authorities where required.

If we enter into a joint venture or merge with another business, your information may be disclosed to our new business partners or owners.

We do not sell or rent your personal data. We will not share it for any other purpose without your consent, unless required to do so by law.

Transfers outside the UK

Your information will only be stored within the UK or EEA.

Security

We take appropriate steps to keep your personal information secure, including password-protected digital file storage with two-factor authentication to ensure only authorised users have access.

How long we keep your information

We will only hold your personal data for as long as is necessary for the relevant purpose, or as required by law or your tenancy contract. We review retention periods periodically.

Your rights

Under UK data protection law you have the right to:

  • Request a copy of the information we hold about you
  • Have inaccurate data corrected
  • Request that we delete your data
  • Ask us to restrict how we use your data
  • Object to our use of your data
  • Receive your data in a portable format
